For a college accounts or HR team, payroll week is stressful for a predictable reason: the salary depends on attendance and leave, and those are recorded in different places by different people. Fix the chain and payroll becomes routine.
What is the chain from attendance to salary?
- Attendance. Who was present on which day, from biometric devices, registers or timetable duty.
- Leave. Approved leave for the period, by type.
- Payable days. Attendance plus paid leave, less any unpaid days.
- Salary. Pay computed from payable days and the salary structure.
- Statutory deductions. PF, ESI, professional tax and TDS, where they apply.
- Payslips and payment. Payslips issued and the bank file prepared.
A mistake at step one flows to the end. That is why the early steps deserve the most attention.
How should attendance be captured?
Choose one reliable source per group of staff.
- Non-teaching staff: biometric or device attendance, with shifts and week-offs.
- Teaching staff: attendance may follow the timetable and lecture duty, so check how your system treats it.
- Visiting faculty: often counted by lectures taken, not days.
Whatever you choose, corrections should be possible with a reason, not by editing a sheet.
How should leave work?
Academic institutions use several kinds of leave: casual, earned, medical, academic and others. Set them up with balances, approvals that follow your hierarchy, and clear rules for carrying forward. Add compensatory leave for extra duty such as exam invigilation, so staff are credited fairly.
What are the common payroll mistakes?
- Leave not linked to attendance. Approved leave is missed, and pay is cut wrongly.
- Late attendance corrections. A fix arrives after payroll is run.
- Manual statutory calculation. Deductions are worked out by hand and drift.
- No dry run. Errors are found after salaries have been paid.
- Loans and advances handled separately, so recoveries are forgotten.
What is a payroll dry run, and why do it?
A dry run is a full payroll calculation on real data, run before anything is paid. You check the net pay, the deductions and the totals. If something is wrong, you fix it and run again. It is the single best protection against paying the wrong amount.
How do you switch payroll safely?
Never switch in one go. Run the new system alongside the old for at least two cycles. Compare the net pay, the deductions and the totals line by line. Fix differences while the old way is still the real one. Switch only when the numbers agree. That is the same approach in our moving to Tuling plan.
A note on statutory deductions
PF, ESI, professional tax and TDS depend on your state, your staff and the rules in force. Rules change, so have your accountant or adviser confirm the settings, and use a system that lets you see and update them with a record of each change.
How does Tuling handle this?
Tuling HCM brings attendance with biometric sync, leave management, payroll with statutory compliance, extra-duty leave conversion, loans and advances, and visiting faculty management into one system. One question to check today
Can you say, for any member of staff, exactly how many days were payable last month and why? If not, start with attendance and leave.
Frequently asked questions
How does attendance affect payroll in a college?
Attendance and approved leave decide how many days are payable. Unapproved absence can reduce pay, so the record must be accurate.
Can biometric attendance feed payroll?
Yes. Attendance from biometric devices can be synced into the HR system, where it combines with leave to give payable days.
What is a payroll dry run?
It is a trial calculation on real data, run before anyone is paid, so you can check the numbers and fix problems first.
How should we move payroll to new software safely?
Run the new system alongside the old for at least two cycles, compare the results line by line, and switch only when the numbers match.
